Overview
Average reps think their job starts when the prospect joins the call. Top reps know the deal is often won or lost days earlier, in the first sixty seconds after the booking notification hits.
Here is the exact sequence to run every single time a sales call gets booked, branch by branch.
The instant a lead books
Text immediately. Short, human, from you: "Hey, it's (your name) from (company)." That is the whole message. It puts your name in their phone and opens the thread everything else will live in.
Then double dial within 60 seconds. Two calls back to back. The second dial matters because plenty of people screen an unknown number once and answer it the second time out of curiosity.
Branch one: they answer
Ask one question: "Are you available to do the call right now? Do you have at least 45 minutes?"
If yes, run the sales call right then and there. This is the highest leverage play in the entire pre-call system. You just collapsed a multi-day sales cycle into one phone call, eliminated the no-show risk entirely, and caught the prospect at maximum motivation, since they booked less than a minute ago. Reps who take even a handful of these on-the-spot calls per month finish the month with materially more closes for zero extra pipeline.
If they cannot do it now, pivot: "Ok, I have some resources I want to send you before the call. Would you like me to send them to you here or on email?" Now you have their preferred channel, a micro-commitment, and a reason to send the resources doc plus a personalized video.
Branch two: they do not answer
Escalate. FaceTime audio call. It sounds strange and it works, because a FaceTime ring cuts through in a way a third regular call does not.
Still nothing? Send a personalized video message on iMessage and WhatsApp. Face on camera, ten to twenty seconds, using their name: who you are, that you are the person they will be speaking with, that you are looking forward to it. You can record one solid structure and personalize the name each time. Video converts because nobody else in their inbox is a human face.
If they reply within five minutes, send them the resource doc on their preferred channel and you are set.
If no reply in five minutes, send the follow up text: introduce yourself again, mention the video in case it did not go through, and offer two specific assets, a testimonials list of clients in their industry and a resources doc with explainer videos covering the common questions like how it works and what it costs. Ask which one they want and whether they want it by text or email. Close with the line that anchors everything: "By the way, I'm the guy you're talking to at (call time). Excited to connect!"
The six hour follow up
If there is still no reply after six hours, or by the morning of the call, send a second video message using the "we're all busy" angle: you know they are busy, you think you can help them make a decision about the product, you have a resources doc answering the common questions, would they like it. Casual, zero pressure, pure value.
The confirmation layer
Running underneath all of this: if the lead has not accepted the calendar invite, text them: "Sent out the invitation to your email, please confirm it when you have a chance. Look forward to speaking with you soon!" An accepted invite is a psychological commitment, and unconfirmed invites are where no-shows come from. Then, from your personal number, one text the day before and one the morning of. The personal number matters. It reads as a person expecting to meet you, not a system reminding you.
Why this works
Every touch in this sequence does the same two jobs: it raises the odds they show, and it starts the relationship before the call so the call opens warm. The company's automated emails and retargeting run in parallel, but the automated layer is air cover. This sequence is the ground game, and it is yours.
Summary
Text instantly, double dial in 60 seconds, take the call on the spot if they can. No answer means FaceTime, then personalized video, then the scripted resource offer, then the six hour video follow up. Enforce the calendar confirmation and send personal-number texts day before and morning of. Run it every time, no exceptions.
Frequently asked questions
Is calling within a minute too aggressive?
No, and prospects tell you so. Instant response reads as competence and seriousness. The lead just booked. There is no warmer moment.
What if my company already sends automated confirmations?
Good, keep them. Automation and the personal sequence stack. Yours is the layer that gets replies.
Do I really need both iMessage and WhatsApp for the video?
Send on whichever clearly delivers, and both when unsure. Different prospects live in different apps, and an undelivered video helps nobody.
